Kopti vs a spreadsheet, Notes and Reminders for tracking home and car maintenance

Most people already track maintenance with something they have: a spreadsheet, a note or a repeating reminder. Often that's enough. This page says when it is, and what Kopti adds when it isn't.

Last updated . Kopti is our app, so weigh this page with that in mind.

When what you have is enough.

You don't need another app to change a filter on time. If one of these describes you, keep using what works.

  • You track a handful of things, and a date is all you need to know.
  • You don't need receipts or manuals kept with the record.
  • You already update a spreadsheet or note every time, without being reminded.
  • You share upkeep with someone who doesn't use an iPhone.
  • You want to total, sort and chart what you spend.

What each option does well, and where it slips.

A spreadsheet is flexible, works on almost any device and is easy to share. It can total costs and sort by date. It doesn't remind you of anything, receipts live in separate files, and adding a row on a phone straight after a job is fiddly enough that it often waits.

Notes is the quickest place to jot something down, and a note can hold photos and scanned receipts. Free text has no structure, though, so answering "when did I last service the boiler?" means reading back through old notes, and a note never reminds you.

Reminders is good at the next date. Repeating reminders and shared lists are built in. A reminder holds a schedule rather than a history, so what you did, which part you used and what it cost end up somewhere else or nowhere.

Many people combine them: a reminder for the date, a note or spreadsheet for the details, and a folder of receipts. That works when you keep all three in step.

What Kopti adds.

Kopti keeps the history, the proof and the next reminder in one record for each thing you look after, so you don't have to keep three places in step.

  • Each item has its own timeline of jobs, parts, costs and providers.
  • Receipts and documents you keep stay with the item and sync through your iCloud.
  • When you complete recurring care, Kopti records it and can offer the next reminder from the day you did it.
  • On iPhones with Apple Intelligence, a typed or spoken note, a receipt photo or a PDF becomes a draft you review before saving. Manual entry works on every supported iPhone.
  • No account and no Kopti servers. Your records stay on your iPhone and in your iCloud.
  • Free for up to 5 items. A one-time purchase unlocks unlimited items, with no subscription.

Kopti is an iPhone app and doesn't share records with other people, and it doesn't total or chart costs for you. If you need either, a spreadsheet still does that better.
